The HR Specialist I serves as a primary front‑line resource for associates by delivering responsive HR support across walk‑up, phone, chat, and email channels. This role performs routine HR system transactions, monitors workflows in systems such as SuccessFactors, Kronos, and Microsoft Dynamics, and ensures the accurate and timely processing of HR actions. The HR Specialist I resolves Level 1 cases, provides technical assistance, and applies foundational HR policy knowledge to address a wide range of associate inquiries. The role supports HR programs and cyclical processes, maintains reporting and records, and contributes to a positive associate experience by ensuring consistent, high‑quality service across all HR processes.
Essential Duties and Responsibiites:
HR Customer Service & Process Support
Serve as the first line of support for HR inquiries through walk-up, phone, and chat, ensuring associates and leaders receive prompt, accurate information and solutions for their inquiries and requests.
Function as a Subject Matter Expert to provide comprehensive guidance to associates and leaders on a broad range of HR processes, policies and tools.
Ensure a People First experience for associates while adhering to defined service level agreements (SLAs)
Deliver technical assistance and support to associates and leaders regarding HR system access, troubleshooting issues, and system navigation.
Maintain confidentiality and follow internal protocols to protect employee data and comply with all relevant labor laws.
Handle sensitive associate issues with tact and in accordance with Swagelok values.
Provide administrative support as necessary to HR and Operations teams (i.e. scheduling, filing, ordering, etc.)
Maintain associate record files.
Compile data to respond to subpoenas and record requests.
Collaborate with HR peers and business units to recommend solutions and implement continuous improvement initiatives to consistently enhance the efficiency of process execution.
Assist with updates to standard work, process documentation, training materials and reference guides to ensure accuracy and relevance.
Assist in carrying out assigned components of enterprise HR programs and annual cyclical processes, contributing to the timely and accurate completion of engagement, compliance, and associate‑focused activities.
HR System Transactions
Execute standard HR transaction workflows and maintain data integrity within Swagelok HR systems (SuccessFactors, Microsoft Dynamics, Kronos, etc.).
Prepare and distribute HR data reports.
Manage Level 1 HR cases to conclusion within defined SLAs and escalate complex cases as necessary.
Process and route unemployment claims (CaseBuilder).
Assist in development and updates of HR knowledge base articles to maintain relevance and accuracy of information.
Support leaders to prepare timecards for payroll processing.
Assist with troubleshooting and continuous improvement initiatives within HR systems.
Other duties as assigned.
Education and Work Experience Requirments:
Required:
One plus (1+) years of professional work experience
Bachelor’s Degree
Proficient skills in Microsoft Office Suite: Excel, Word, PowerPoint, Outlook, etc.
Strong attention to detail
Ability to multi-task and operate effectively in a fast-paced environment
Ability to work within a high-volume customer service atmosphere
Ability to handle sensitive and confidential information
Excellent communication and interpersonal skills
Excellent problem-solving skills with ability to independently resolve and/or escalate issues.
Preferred:
Basic knowledge of employment legislation
One (1) year demonstrated customer service or call center experience
One (1) year demonstrated HR Systems experience
Experience using HR Systems and reporting
Working conditions and/or Physical Requirements:
- Working conditions associated with normal office environment.
- Ability to operate standard office equipment (e.g., computer, telephone, copier, printer, etc.).
- Ability to effectively communicate in both small and large groups and settings.
- Ability to traverse between multiple locations in Ohio and Pennsylvania as needed.
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
