The Global Records and Information Management Analyst primary function is assisting in the maintenance of the Company’s records management and retention programs. This position is responsible for maintaining, designing and implementing processes, ensuring compliance with operational policies and procedures, and responding to questions regarding the programs. The incumbent will work with the Global Records & Information Management Manager and GRIM Team and directly with the business owners to manage the records management program.

Formal Education & Certification

  • Bachelor’s degree or 4–8 years of directly relevant professional experience.

Knowledge & Experience

  • 1+ years experience working in an operational, records, or compliance position.

  • 1+ years experience working with internal clients and/or external agencies/partners.

  • Preferred business knowledge includes a working knowledge of SW structure, business processes, and operations.

  • Understanding of various essential business functions of an organization.

  • Well versed in Microsoft Office applications.

  • Preferred basic understanding of data privacy and security laws.

  • Must be eighteen years or older.


Position Responsibilities

  • Oversees and carries out daily records management operations in accordance with the Global Records Management program, policy, standards and guidelines.

  • Administers the records inventory application, Versatile Enterprise and third-party vendor inventory portals. Performs data keying activities in the application on a daily basis.

  • Conducts audits and reviews of offsite storage inventories, departments, and locations to ensure compliance and provides training as required.

  • Responds to questions and concerns from employees regarding the status of records, requirements, and general retention processes.

  • Tracks and performs customer service for secure shredding and offsite records storage activities with multiple vendors and ensures that internal customer needs are met.

  • Analyzes records inventories for discrepancies.

  • Regular follow up with business owners in order to complete record management requests.

  • Monitors and analyzes communications and information regarding the records management programs, adjusts message for target audience, and ensures information is presented in a clear and concise manner.

  • Provides orientation and training to Records Coordinators or as needed to communicate procedures, guidelines, requirements, and programs.

  • Assists in the design, evaluation, implementation, and maintenance of records management-related processes; interprets information and receives direction on technical questions.

  • Reports and metrics development for each of the areas of responsibility.

  • Assist in the maintenance of the Privacy mailbox.

Operational Management

  • Work with Record Management Analystis, Global Privacy Analysts and,directly with business owners to identify potential areas for improvements to the design, functionality and security of our record management processes.

  • Analyze business processes or issues and quickly understand the business issues and related record management challenges.

  • Communicate effectively with record owners to identify needs and evaluate business solutions.

  • Work frequently with key business personnel across all divisions, domestically and globally.

  • Deliver informative, well-organized presentations. Understand how to communicate difficult/sensitive information tactfully.

  • Identify opportunities, recommend and help implement process improvements.

  • Provide leadership and complete any projects, as requested. Provides support in the development, implementation and promotion of the Global Records Management program initiatives and special projects.

This is a remote position.
