Overview of Position
Osborn is seeking a Front Office Coordinator who will ensure our front desk welcomes guest positively and who will execute all administrative tasks and operational responsibilities to the highest quality standards at our Corporate Headquarters in Downtown Cleveland. This position works closely with executive directors, directors, managers, project managers engineers, architects and sales staff to ensure clients’ needs are met in a timely fashion and that the front office is operating in a professional and organized manner.
Osborn is a fully integrated multi-disciplined design firm that uses a specialized team approach to engineering projects. These teams are comprised of a staff of more than 350 professionals that provide designs for all phases of a wide range of projects. Osborn has specialists in civil, structural, mechanical, electrical, plumbing, fire protection and life safety, technology engineering, transportation and commissioning. Position Responsibilities:
- Answer phones and direct calls.
- Greet clients, guests and visitors in a professional and friendly manner.
- Coordinate meetings and order food and beverages. Set up and clean-up of meetings if needed.
- Assist Marketing, HR and the Operations departments with administrative responsibilities.
- Run reports, generate statements and create spreadsheets as needed.
- Assist in office runs/errands.
- Responsible for handling reproduction needs as directed by management including copying, binding and scanning.
- Scheduling and filing that may be required.
- Travel Coordination.
- Daily mail runs and shipping and receiving responsibilities.
- Refreshment and Food ordering and setup.
- Assist with company events.
- Responsible for company coffee and vending machine management and maintenance.
- Keep front office, lunch and break areas neat and tidy.
- Communicate with Building Management.
- Committee participation and assistance.
- Other administrative duties as assigned.
- Daily inspection of office for cleanliness, damage, etc.
- Office supply management.
- Management of printers and copier supplies as well as maintenance/service of equipment.
- Assist company Executives as needed.
- Stock kitchen supplies; check coffee machines.
- Drive company van for employees, candidates or to pickup company supplies.
Job Requirements/Qualifications:
- Must be able to manage time effectively, multi-task and have the ability to work independently while following directions.
- Customer service focused and task oriented.
- Advanced computer knowledge preferred with familiarity and expertise with Microsoft Office products. (Word, Excel, PowerPoint, Outlook, etc.)
- Strong communication and organizational skills and abilities.
- A background in Human Resources, Employee Onboarding and/Recruitment or Marketing/InDesign a plus.
- Experience with Deltek Vision is preferred.
- Familiarity working with an HRIS system a plus.
- Must have valid driver’s license.
- Minimum Education: High School Diploma/GED.
