LEASE ADMINISTRATOR Industrial Commercial Properties (ICP) is seeking a detail-oriented and organized Lease Administrator to join our growing team in the real estate industry. The Lease Administrator will play a crucial role in managing and overseeing all aspects of lease agreements, ensuring compliance and facilitating smooth operations between landlords, tenants, and internal stakeholders. This position requires strong analytical skills and the ability to handle a variety of administrative tasks related to leases. The ideal candidate will have a thorough understanding of leasing terms and conditions and the ability to interpret complex lease documents. As a Lease Administrator, you will be responsible for maintaining accurate lease files, tracking critical dates, and managing lease renewals and terminations. Additionally, you will collaborate closely with property management teams and legal advisors to resolve lease-related issues as they arise. Duties and Responsibilities:- Manage and maintain a portfolio of lease files and databases for accuracy and compliance with terms and conditions. Ensure that lease files are kept current as amended or altered.- Review and abstract lease agreements to summarize key terms and conditions. Maintain a property notes file at each property detailing special calculations, restrictions, or other key lease/property-related information.- Accurately calculate and bill all charges pursuant to the lease agreements, including but not limited to recurring base rent, operating expense (CAM, real estate tax and insurance) and percentage or overage rent.- Track critical lease dates and deadlines, including renewals and expirations. Complete periodic rent roll validation to ensure that the lease agreements are accurately reflected in MRI.- Coordinate with tenants and property managers to ensure timely lease payments and resolve issues.- Prepare and distribute lease-related correspondence and documentation.- Assist in the negotiation of lease terms and conditions as needed.- Ensure compliance with local, state, and federal regulations regarding leasing practices. Qualifications:- Bachelor’s degree in Business Administration, Real Estate, or a related field.- 5+ years experience in lease administration or relevant real estate experience, with the ability to interpret lease and other l documents and identify key provisions.- Strong knowledge of property management software (MRI, Yardi, etc) and financial reporting tools.- Demonstrated ability to manage multiple properties and projects simultaneously under tight deadlines.- Strong analytical and problem-solving skills with attention to detail.- Excellent organizational and time management skills.- Proficiency in Microsoft Office Suite and lease management software.- Strong communication skills, both verbal and written.
