ADMINISTRATIVE ASSISTANT / PROJECT COORDINATOR Duties and Responsibilities:Preparation and document management for: Contracts, Purchase Orders and Change Orders under the direction of Project Management staff - Organization and tracking of all documentation - Maintain contract folders and documentation on all jobs - Maintain Job Contract Spreadsheet - Tracking and recording of Notice of Furnishings and Contractor Sub/Supplier lists - Assist Project Managers with permits, registrations, etc. - Tracking and recording of Certificates of Insurance, Workers Compensation and Vendor W-9’s - Maintain Current Vendor Spreadsheet with all required documentation Invoices & Cost Coding - Responsible for incoming invoices email box - Working with contractors to make sure billing process is accurate and required documents are received - Saving invoices and distributing to Project Managers for approval - Code invoices with Job Number, Contract/PO number - Work with Accounting department to enter invoices promptly after approval - Prepare Weekly Project Reports and distribute to Project Managers - General Office Back up (Fed Ex, Mailing, Filing, etc) Qualifications:- High school diploma is minimum requirement. - 2 years of administrative experience in the construction industry is desired.- Strong attention to detail, effective communication skills, and efficient time management are a must.- Proficient computer skills are required.
