ADMINISTRATIVE ASSISTANT / PROJECT COORDINATOR. Duties and Responsibilities: preparation and document management for Contracts, Purchase Orders and Change Orders under the direction of Project Management; organization and tracking of all documentation; maintain contract folders and documentation on all jobs; maintain Job Contract Spreadsheet; track and record Notices of Furnishings and Contractor Sub/Supplier lists; assist Project Managers with permits and registrations; track and record Certificates of Insurance, Workers Compensation and Vendor W-9s; maintain Current Vendor Spreadsheet with required documentation. Invoices & Cost Coding: manage incoming invoices email box; work with contractors on billing process and required documents; save invoices and distribute for PM approval; code invoices with Job Number and Contract/PO number; work with Accounting to enter invoices promptly after approval. Prepare Weekly Project Reports and distribute; general office backup (shipping, mailing, filing). Qualifications: High school diploma minimum; 2 years administrative experience in the construction industry desired; strong attention to detail, effective communication and efficient time management; proficient computer skills required.
