Role specification
  • This person will be primarily responsible for interacting with our internal and external customers in addition to the field service organization to manage all aspects of the spare parts order process, including sales orders maintenance.
  • This is a full-time role and will be reporting to the Vice President of Sales & Marketing.
  • This role will work out of the Compass Systems Headquarters in Barberton, OH.
Duties and Responsibilities
  • Preparation of quotes, purchase orders and timely completion of other related documentation including but not limited to new part creation within ERP system, data entry of parts and services, fabrication estimation, technical understanding of parts selected, and ability to navigate job and part histories using a combination of ERP system, bill of materials, and parts database
  • Manages customer relationships by responding efficiently to customers request for spare parts quotes and to follow up on quotes
  • Proactively reviews sales orders and works with purchasing and manufacturing departments to ensure on time shipments. Notifies customers of any delays and updates them on shipping information
  • Manages internal requests for parts quotations related to new systems
  • Update and maintain part information, pricing, and lead times
  • Retroactively tracks all purchase orders, inspects goods, and route shipment information to the responsible parties internal and external
  • Manages emergency customer shipments with a customer-centric sense of urgency
  • Maintains metrics for OTD on our confirmation vs customer “need by” date
  • Resolves issues between accounting, engineering, shipping and customers
  • Other duties as assigned and as needed cross functionally
Education and Qualifications
  • Preferred Associate’s Degree in Engineering. Acceptable Business, Marketing, Communications or related field with technical experience.
  • A minimum of 2 years of related technical/mechanical experience
  • Comfortable in an entrepreneurial environment / self-starter and able to engage in reflective and independent thinking to guide actions
  • Strong customer service skills and reliable team player
  • Ability to multitask, manage multiple projects/quotations and maintain attention to detail
  • Ability to communicate effectively internally and externally with customers and vendors
  • Strong organizational and planning skills including but not limited to job folder organization, vendor organization, building vendor relationships, revision tracking, and managing past order history.
  • Desired to have knowledge of systems and software necessary to perform job function such as JobBoss(ERP System), MS Word, Excel, Adobe Acrobat, and PowerPoint
Preferred
  • Prior experience supporting spare parts business
  • Automotive and/or Paper Industry experience
  • Mechanical aptitude
  • Ability to read engineering prints
  • Experience with Pneumatic & Mechanical conveyors, Fans and Pressure Blowers, Diverters and Loadout Systems, Dust Collection Systems, Balers
