Position Summary: The Loan Closing & Servicing Specialist assembles, prepares, and reviews regulatory closing documents through a Loan Origination System (LOS) and document preparation platform while ensuring loan files close and fund based on contractual dates. Coordinates the closing process and acts as an intermediary between all parties within the real estate closing transaction ensuring all documents are calculated correctly and all terms of the loan are accurately submitted to the title company for final loan closing. They manage all post-closing service activities for Believe Mortgage’s portfolio. This role ensures accurate and timely processing of payments, maintenance of loan records, and delivery of exceptional customer service.
The rate of pay for this position is $65,000 - $70,000 per year, commensurate with experience (FLSA Exempt)
Essential Duties and Responsibilities:
  • Prepare and review mortgage loan closing documents using systems such as Calyx and DocMagic to ensure accuracy, compliance, and timely funding.
  • Coordinate all aspects of the loan closing process by working closely with borrowers, loan officers, attorneys, title companies, closing agents, and vendors.
  • Maintain active closing schedules and ensure all required documentation and conditions are completed prior to funding.
  • Review loan files, pricing, and program terms to confirm compliance with investor, state, federal, and company guidelines.
  • Prepare and execute lender fund disbursements and assist with post-closing issue resolution as needed.
  • Set up and maintain loans within the servicing system, ensuring accurate loan boarding and recordkeeping.
  • Facilitate ongoing loan servicing activities including payment processing, escrow disbursements, billing, and monitoring of loan status.
  • Track and obtain required insurance documentation for escrow accounts and ensure servicing files remain current and complete.
  • Respond to customer inquiries regarding payments, escrow, disbursements, account adjustments, and general loan servicing matters.
  • Prepare loan releases and maintain servicing documentation and reporting.
  • Generate and maintain operational reports including delinquency, receivable, missed payment, and escrow analysis reports.
  • Ensure all activities are completed in accordance with internal policies, regulatory requirements, and service standards while providing prompt and professional problem resolution.
Education and/or Work Experience Requirements:
Required:
Education:
  • High School Graduate or equivalent.
Experience:
  • Minimum three years of loan closing experience in residential lending or banking industry.
Skills:
  • Excellent written and verbal communication skills.
  • Strong customer service skills with an ability to work well under pressure.
  • Strong analysis, time management and organization skills.
  • Ability to engage in a variety of tasks simultaneously and consistently meet deadlines.
  • Effective leadership skills and strong teamwork orientation.
  • Knowledge and familiarity with current mortgage and compliance laws and regulations.
  • Advanced math and calculation skills.
  • Strong computer skills with good working knowledge of MS Office and proficient with loan industry software platforms (Calyx and DocMagic).
Other:
  • Valid driver’s license, reliable transportation and automobile insurance.
  • Travel with Northeastern Ohio market when necessary.
Preferred:
  • Associate’s or Bachelor’s Degree.
  • Active NMLS license a plus.
